Majestic Transportation Services & Limo Inc.
Our Hudson Valley shuttle service moves people on a timetable rather than one ride at a time. Wedding guests go from the hotel to the venue and back, conference attendees travel between a hotel and a meeting site, a team arrives at the train station and needs to reach an offsite. We plan the timed runs, choose vans that seat up to 14 passengers each, and give the return trips as much attention as the arrivals.
The difference from a single group transfer is the timetable. A shuttle has a first run, a last run and often several trips in between, and the plan has to hold up when guests leave early, a speech runs long or the road backs up.
Every shuttle starts with five pieces of information: the pickup points, the destination, the number of passengers, the time everyone must arrive and the window for the trips home. From there, the schedule takes one of two basic shapes.
Say your wedding guests are split between two inns, there are enough of them to fill three Sprinters, and the ceremony starts at a fixed time. The three vans can load together and arrive as one group, or a single van can start earlier and loop from each one. On the way back, an early run for families and older guests and a last run after the final dance cover most needs. We work out the vehicle count with you, and the quote depends on the vehicles, the date, the length of the schedule and any waiting between runs.
Weddings are where a shuttle plan earns its keep. Nobody has to find a rural venue in the dark or decide who stays sober, and the couple knows everyone will be seated before the ceremony.
Road problems are the real test, because a backup on the only road to a farm venue cannot be planned away; what helps is a chauffeur team that adjusts and a dispatcher who knows the timetable. Lisa H. described her guest shuttle in her Google review: “the drivers were flexible, prompt and professional and got everyone to the wedding on time!”
People rarely all want to leave at the same moment, so we leave room in the return plan for changes on the night. The couple’s own vehicle and a limo bus for the wedding party can run on the same timetable as part of our wedding transportation.
A company retreat or meeting in the Hudson Valley tends to involve a train station, an airport and a hotel, sometimes all on the first morning. Metro-North‘s Hudson Line runs to Beacon and Poughkeepsie, and Amtrak stops at Poughkeepsie and at Rhinecliff, near Rhinebeck. A shuttle can meet a train, collect attendees where they are staying and run between the meeting site and dinner in the evening.
Attendees flying in can be collected at Stewart Airport in New Windsor, where we track flights for airport pickups. When the event has a full program of sessions, dinners and VIP transfers, the shuttle becomes one piece of our meeting and event transportation. If your party only needs one run out and one run back, a simple group transportation booking is usually enough.
A Hudson Valley shuttle rental with us always comes with the chauffeur and the dispatch behind it, never a self-drive van. Our two 14-passenger vans, the Ford Transit XLT and the Mercedes-Benz Sprinter, each carry a full load of riders with their bags, so either one works for a lodging loop or a station run. A Chevrolet Suburban for up to six makes a useful standby in a larger plan: for the wedding party, a speaker who needs a separate run, or the few people who want to leave on their own schedule while the vans keep the main loop going.
Shuttles run on larger vehicles, so we normally need 48 hours of notice, although wedding and event shuttles are best booked as soon as your date and venue are set. Reserving the vans takes a 25% deposit, and the rest is due 30 days before the event. If the event is called off, a phone call to our office at least 30 days out releases the booking, though the deposit stays with us; cancellations are not accepted by email.
Changes made more than 24 hours ahead can be emailed to our office. Changes within 24 hours of service need a phone call, and on the day itself our dispatch team stays in contact with the chauffeurs, so a moved last run or an extra pickup can be passed along quickly.
It depends on the pattern more than the headcount. A single wave needs enough seats for everyone at once, so you divide the guest count by 14 and round up. A loop can move the same number of people with fewer vehicles if you have a longer window. We run both versions with you before you decide.
Yes. We suggest at least an early return and a final return, and we can add runs in between. Tell us the last time guests can stay at the venue, because that sets the final run.
Yes. A day might start with arrivals at Stewart, continue with a pickup at Beacon or Poughkeepsie station, and end with runs between the hotel and the venue. We plan the legs with luggage first, so suitcases are already in the rooms before the evening loop starts.
Pick one meeting point per property, usually the main entrance, and put the departure times on the welcome card or the wedding website. Guests should be outside at the listed time; if the van is not there, a call to our main line, listed below, lets dispatch reach the chauffeur right away.
Send your guest count, hotel and venue addresses, the arrival time and the window for return trips through our quote form, and we will build a shuttle schedule and a vehicle plan around it. Planners who want to test a few timing scenarios before committing can reach our office at (877) 811-8400 or send the event outline to majestic@mtslimousine.com.
